What Happens on Every Call

Six steps from dial to summary. This is exactly what happens every single time someone rings your Air Landline.

1

Caller Dials Your Number

Someone calls your UK business number — whether it is a local 01/02, national 03 or freephone 0800. The call routes instantly to the Air Landline cloud. There is no physical phone, no handset and no hardware involved. The number exists entirely in the cloud.

⏱ Instant
2

AI Answers in Under 1 Second

The AI picks up and speaks your custom greeting: "Good morning, thank you for calling Smith Plumbing, how can I help?" There is no ring delay, no "press 1 for sales" IVR menu and no hold music. The caller hears a natural British voice immediately — faster than any human receptionist could pick up.

⏱ Under 1 second
3

The AI Listens and Understands

The caller speaks naturally — "I've got a leaking tap in my kitchen and I need someone to come out this week." The AI converts their speech to text in real time using advanced speech recognition trained on British English including all regional accents. It understands the context: this is a plumbing enquiry, it is not urgent but it needs scheduling.

⏱ Real-time
4

The AI Responds and Takes Action

Based on what the caller said and your business rules, the AI generates a natural response and takes the appropriate action. It might ask follow-up questions ("What's your postcode?"), answer a question ("Our callout fee is £60"), book an appointment ("We have Thursday 2-4pm available"), or offer to transfer live ("Let me put you through to Dave now").

⏱ Conversational
5

Summary Sent Instantly

Within seconds of the call ending, you receive an SMS and/or email summary. It contains: caller name, phone number, reason for calling, postcode, urgency level, any actions taken (appointment booked, message taken, transfer attempted) and a full conversation summary. Multiple team members can receive the same summary simultaneously.

⏱ 5–10 seconds after call
6

Dashboard Updated

The call, summary and any bookings appear in your online dashboard. You can review call history, export leads, check analytics and adjust AI settings from any device. Everything is searchable, filterable and exportable — your complete call history in one place.

💬 REAL EXAMPLE

What a Call Actually Sounds Like

A real example of an AI conversation for a plumbing business. This is what the caller hears.

AI: Good morning, thank you for calling Dave's Plumbing, how can I help?
Caller: Hi, I've got a leak under my kitchen sink. It's been dripping for a couple of days and it's getting worse.
AI: I'm sorry to hear that. I can help get that sorted for you. Can I take your postcode so I can check we cover your area?
Caller: Yeah, it's SK10 2AB.
AI: That's Macclesfield — yes, we cover that area. A leaking tap or pipe repair is typically £65 to £85 depending on the issue. Can I book you in?
Caller: Yes please. Can someone come this week?
AI: I have Thursday between 2 and 4pm available. Would that work for you?
Caller: Thursday's fine. My name is Sarah and my number is 07700 900123.
AI: Lovely. I've booked that in — Dave will attend 14 Elm Street on Thursday between 2 and 4pm for the kitchen sink leak. He'll call about 30 minutes before arriving. You'll receive a confirmation text shortly. Is there anything else I can help with?
Caller: No, that's perfect. Thank you.
AI: You're welcome, Sarah. We'll see you Thursday. Goodbye.
[Call ends. SMS summary sent to Dave in 6 seconds. Appointment added to calendar. Confirmation SMS sent to Sarah.]
🧠 THE TECHNOLOGY

How the AI Actually Works

Speech recognition (listening)

When a caller speaks, the AI converts their voice to text in real time using speech-to-text (STT) technology specifically trained on British English. It handles Scottish, Welsh, Northern Irish, Scouse, Geordie, Yorkshire, Brummie and other regional accents with 95%+ accuracy. It understands UK postcodes, street names, medication names, technical terms and colloquialisms.

Language understanding (thinking)

Once the speech is converted to text, a large language model (LLM) analyses the meaning in context. It does not just match keywords — it understands intent. "My boiler's playing up" means something different to "I need a boiler service" and the AI handles both correctly. It uses your business-specific knowledge (services, pricing, FAQs, location) to generate the right response.

Voice synthesis (speaking)

The AI's response is converted from text back to speech using text-to-speech (TTS) technology with natural British voices. The voice has natural rhythm, pacing, pauses and emphasis — it does not sound robotic or monotone. You choose male or female, and from several voice styles to match your brand.

The loop

This cycle — listen → understand → respond → listen — happens in fractions of a second. The conversation feels natural because the AI processes and replies faster than a human could. There is no awkward delay, no "processing" pause and no dead air. It flows like a real conversation because, technologically, it is one — just with an AI on one end.

What it is NOT

Air Landline is not an IVR ("press 1 for sales, press 2 for support"). It is not a chatbot reading from a script. It is not pre-recorded messages. It is a conversational AI that listens, understands and responds in real time to whatever the caller says — just like a well-trained receptionist, but available 24/7 and handling unlimited calls simultaneously.

🔀 ROUTING MODES

Three Ways to Route Your Calls

You control how calls flow. Switch between modes anytime from your dashboard — changes take effect immediately.

🤖

AI-First (Recommended)

The AI answers every call, qualifies the caller, handles routine enquiries and takes appropriate action. Complex or high-value calls are transferred live to your mobile with full context captured.

You only speak to calls that genuinely need you. Everything else is handled and summarised.

Best for: most businesses, trades on site, busy practices
📱

Direct to Mobile

All calls ring your mobile first. If you do not answer within your set ring time (5, 10, 15 or 20 seconds), the AI picks up as backup — takes a message, books an appointment or handles the query.

You answer when you can. The AI catches everything you miss.

Best for: sole traders who prefer to answer personally when available

Time-Based

Different rules for different times. Example: during business hours (9am–5pm) calls go to your team directly. After hours, weekends and bank holidays, the AI handles everything.

Different schedules per day. Bank holiday overrides. Holiday mode for annual leave.

Best for: offices with reception staff during hours, after-hours AI coverage
💬 THE SUMMARY

What You Actually Receive

After every call, you receive an SMS and/or email. Here is a real example of what arrives on your phone:

SMS summary example

📞 New call — Dave's Plumbing
Caller: Sarah Thompson
Number: 07700 900123
Postcode: SK10 2AB (Macclesfield ✓)
Issue: Kitchen sink leak, getting worse over 2 days
Urgency: Routine
Action: Booked Thursday 2–4pm ✓
Confirmation SMS sent to caller ✓

What makes this useful

  • Everything in one glance — name, number, location, issue, urgency, action taken. No voicemail to listen to, no notes to decipher
  • Searchable — every summary is in your dashboard. Search by name, postcode, date or keyword. Find any call in seconds
  • Actionable — the caller's number is right there. One tap to call back. If a booking was made, it is already in your calendar
  • Shared — multiple team members receive the same summary simultaneously. Everyone is in the loop without relay or repetition

Emergency flagging

When the AI identifies an urgent or emergency call, the summary is different: it arrives as a priority SMS with URGENT prefix and — if you have configured it — the call is transferred to your mobile live before the summary is even generated. You know about emergencies in seconds, not hours.

❓ WHAT IF…

What Happens When Things Go Wrong

What if the AI cannot understand the caller?

The AI asks the caller to repeat or rephrase. If it still cannot understand after two attempts, it offers to transfer the call to a human or takes a message with whatever details it has captured. The caller is never stuck in a loop, never abandoned and never met with silence.

What if the caller asks something the AI does not know?

The AI says something like: "I don't have that information to hand, but let me take your details and someone will get back to you today." It captures the question, the caller's details and sends you a flagged summary. The caller feels heard. You follow up informed.

What if nobody answers a live transfer?

The AI picks back up seamlessly. It apologises for the wait, takes a detailed message and sends a flagged summary: "Transfer attempted — no answer. Caller needs callback." The caller is never left on hold indefinitely or dropped.

What if the internet goes down?

Your Air Landline runs in the cloud — it does not depend on your internet connection, your router or your premises. If your office broadband drops, the AI keeps answering calls as normal. The only thing that changes is you will not see the dashboard until you are back online — but summaries still arrive via SMS.

What if there is a platform outage?

Team-Connect maintains 99.9% uptime with redundant infrastructure. In the unlikely event of a platform issue, calls are forwarded to your configured fallback number (typically your mobile) so you never miss a call, even during maintenance.
