Heating engineer business landline

A Heating Engineer Business Landline for the Morning Every Boiler Fails at Once

There is one morning every autumn when the temperature drops, three hundred boilers in your area try to fire for the first time since March, and the phone does not stop. You are in a boiler cupboard with the case off, and every call you cannot take is a customer ringing the next engineer. A heating engineer business landline gives you a local number that rings your mobile on every job, and an AI receptionist that answers in your business name when you cannot, asks the gas question first, takes the make, the fault code and the pressure, and books the breakdown into the slot you would have given it. AI answering is £19.99 a month, no contract.

A Year on a Heating Engineer's Phone

No other trade's phone is this seasonal. The same number is quiet in July and unanswerable in November, and a heating engineer business landline has to be built for the second one.

Late October to November

The first cold snap

Unanswerable

What rings: no heating, no hot water, boiler locked out, "it was fine in March". Dozens a day, all at once, all urgent to the caller.

What the AI does: answers every one, asks the gas question, takes make, model, fault code and pressure, books by priority and tells the caller honestly when the next slot is.

December to February

Deep winter

High

What rings: breakdowns, frozen condensate pipes after a hard night, landlords with tenants who have no heat, the Christmas week calls.

What the AI does: puts vulnerable-occupant and gas calls through, books the rest in order, and texts you a list that reads as a route, not a pile of voicemails.

March to May

Installs and quotes

Steady

What rings: new boiler quotes from people who got through the winter and do not want to do it again, system upgrades, controls, cylinders.

What the AI does: takes property size, bathrooms, current boiler and location, hot water demand, timing and budget, and offers a survey visit.

June to September

Certificates and services

Quiet

What rings: letting agents booking landlord gas safety checks, annual services ahead of the autumn, the odd hot water fault.

What the AI does: books the certificate work by property with tenant access details, and takes service bookings with the boiler make and the last service date.

Plan for November, not for July. The AI answers at the same speed on the busiest morning of the year as on the quietest, and AI minute packs cover a cold snap without changing plan.

Three Calls to a Heating Engineer, Answered From Inside a Boiler Cupboard

A fictional firm called Westbrook Heating, three real kinds of caller. Read what each one heard, and what reached the engineer.

Call 1: No heating, no hot water, 7:10am on the first cold Monday

AI receptionist
AI receptionistGood morning, Westbrook Heating, Grace speaking. How can I help?
Caller
CallerHi, our boiler's not come on, there's no heating and no hot water and I've got two kids to get to school. Can someone come today?
AI receptionist
AI receptionistI'll get that booked for you. First, is there any smell of gas, or is a carbon monoxide alarm sounding?
Caller
CallerNo, nothing like that. It's just dead, there's a code on the front.
AI receptionist
AI receptionistThank you. Could you read me the code, and tell me the make of the boiler? And if there's a pressure gauge on the front, what number is the needle on?
Caller
CallerIt says EA. It's a Worcester. The needle's right down, nearly on zero.
AI receptionist
AI receptionistThat's noted, thank you. I won't talk you through anything on the boiler itself; the engineer will see all of that. Can I take your name, the address and the best number?
Caller
CallerKate Morris, 7 Linden Grove, Cheadle Hulme, 07700 900318.
AI receptionist
AI receptionistThanks Kate. The first slot today is between 12 and 2, and I've marked it as a no-heat with children in the house so the engineer sees it at the top of his list. The callout is £85 including the first half hour. You'll get a text confirming it now.

Call 2: A letting agent with fourteen gas safety checks due

AI receptionist
AI receptionistWestbrook Heating, Grace speaking.
Caller
CallerHi, Mark Daley at Pennine Lettings. Our usual engineer has retired and we've got fourteen landlord gas safety certificates due across June and July. Is that something you'd take on?
AI receptionist
AI receptionistYes, we do a lot of landlord work. Are the properties all in the same area, and are they all occupied, so we'd be arranging access with tenants?
Caller
CallerAll within about five miles, mostly Stockport. Twelve occupied, two empty between tenants. We hold keys for the empty ones.
AI receptionist
AI receptionistThat works well. If you email the list with addresses, expiry dates and tenant contact numbers to jobs@westbrookheating.co.uk, the engineer will come back to you with a schedule that groups them by area and gets each one done before it expires. Would you want the two empty ones first?
Caller
CallerYes please, they've got tenants moving in on the 20th. I'll send the list this afternoon. 0161 496 0702.
AI receptionist
AI receptionistThank you, Mark. I've flagged the two empty properties as needed before the 20th. He'll ring you tomorrow once he has the list.

80 seconds. Fourteen jobs and an agent who will ring you first next year, taken while you were on your knees in an airing cupboard.

Call 3: A new boiler quote, after a winter of patching the old one

AI receptionist
AI receptionistWestbrook Heating, Grace speaking.
Caller
CallerHi, we've had the boiler fixed three times this winter and we've had enough. Can you quote for a new one?
AI receptionist
AI receptionistWe can. A few questions so the survey is quick. What sort of boiler is it now, a combi or one with a hot water cylinder, and roughly how old?
Caller
CallerCombi, in the kitchen, about fifteen years old. It's a Baxi.
AI receptionist
AI receptionistThank you. How many bedrooms and bathrooms, and does anyone run two showers at once?
Caller
CallerFour bedrooms, two bathrooms, and yes, every school morning.
AI receptionist
AI receptionistThat's useful for the engineer to know. Do you want it to stay in the kitchen, and is there a rough budget or a timescale you're working to?
Caller
CallerSame place is fine. Before next winter, and we'd rather pay for something decent than cheap. Claire Hadley, 07700 900460.
AI receptionist
AI receptionistThanks Claire. He can do a survey on Thursday at 5pm, after work, and he'll talk through the options for two showers at once. You'll get a text confirming it now.

03 · The call flow

What the AI Asks for Each Boiler Problem, and What Happens Next

The AI does not diagnose and it does not talk anyone through a boiler. It asks the questions that tell you how urgent the call is and what to bring, then it does one of four things.

Nothing else first. The safety script below, then the call is put through to you once the caller is outside.

Every row ends with a text and an email to you with the make, the code and the pressure in the first line, and a confirmation text to the caller. Nobody is asked to leave a message.

04 · Safety

What the AI Says if Someone Smells Gas

It is the one call where taking a message would be the wrong thing to do. The script is short, it is the same every time, and it happens before any detail is taken.

The script, in this order

  1. Open windows and doors if it is safe to.
  2. Do not use light switches, sockets, phones indoors or anything that could make a spark. Do not light anything.
  3. Leave the property and take everyone with you.
  4. From outside, call the gas emergency number: 0800 111 999 in Great Britain, 0800 002 001 in Northern Ireland.
  5. Ring us back once you have done that, and we will be ready.

A sounding carbon monoxide alarm gets the same script: fresh air, get out, call the emergency number, and medical help if anyone feels unwell. Only after that does the AI put the call through to you.

You will not be the first responder on a gas escape and you should not be. What the number does is make sure a frightened caller hears the right thing immediately, rather than a voicemail greeting, and that you know about it within the minute.

05 · Landlords and agents

The Certificate Calendar: Work That Arrives in Batches

Landlord gas safety work is the steadiest income a heating engineer has, and it comes from letting agents who ring in office hours, when you are on the tools. The firm that answers gets the portfolio.

Annual, and it can be done early

A landlord's gas safety check is due every twelve months. It can be carried out up to two months before the expiry date without losing that date, which is how a good agent plans a batch. The AI asks for the expiry date on every property so your schedule is built around it.

Tenant access, taken on the call

For an occupied property the AI takes the tenant's name and number and the agent's notice arrangements, so you are not ringing the agent back to ask who to ring. For an empty one it takes where the keys are.

The certificate, chased by nobody

Agents judge an engineer on whether the record turns up without being asked. Every certificate call sits in your dashboard with the agent's details, and the text credits on your plan cover a "done, certificate emailed" message that keeps you at the top of their list.

A business landline for heating engineers is also the number on the van and the Gas Safe register entry, so it is portable: the one you already have can be moved across and kept.

What Heating Engineers Say

★★★★★
Working on a gas connection I will not answer the phone, full stop. The AI takes the breakdown details, asks the gas question first, and I ring back from the van knowing the make and the code.
Mike, Gas Safe heating engineer, Manchester
★★★★★
A facilities manager rang about a commercial plant room while we were on a job. The AI took the premises, the system and the deadline and booked a survey. We sounded like an established firm because the phone was answered like one.
Sarah, commercial heating contractor, Birmingham
★★★★★
Winter breakdowns come in all day. The AI asks make, model and the code on the display, so by the time I call back I know what to bring. Fewer second visits.
James, boiler specialist, Leeds
★★★★★
Letting agents ring in office hours and I am never in an office. The AI takes the property list, the expiry dates and the tenant numbers, and I come back with a schedule. Two agencies now send me everything.
Gary, landlord gas safety work, Nottingham
★★★★★
Two vans, neither of us can answer on site. The AI runs the phone, puts the no-heat-with-kids calls through and books the rest in order. The first cold snap was the first one in years I did not dread.
Tracy, heating and plumbing, Leicester
★★★★★
Good system for a busy heating business. It took a day or two to set which calls come through and which get booked, but support helped and it has been reliable ever since.
Neil, heating company owner, Norwich
★★★★★
I asked for the gas script to be exactly what I would say myself and it is. Open windows, do not touch switches, get out, ring the emergency number, then ring us. Customers hear it before they hear anything else.
Rachel, domestic heating engineer, Bristol
★★★★★
New boiler enquiries are handled properly: combi or cylinder, bedrooms, bathrooms, two showers at once. I turn up to the survey already knowing whether it is a combi conversation or a system one.
David, heating and gas engineer, Newcastle
★★★★★
Out-of-hours calls in January used to mean a ruined night or a lost customer. Now the genuine ones come through and the ones that can wait are booked for the morning, with the details written up.
Tom, emergency heating services, London
★★★★★
The callout fee being quoted on the call and repeated in the text has ended the doorstep conversation about money. On Pro it is recorded as well.
Paul, boiler repairs, Sheffield
★★★★★
Frozen condensate pipes after a hard frost: forty calls in a morning. The AI answered all of them, booked them in order of who had nobody else to help, and I worked through the list.
Ian, heating engineer, Glasgow
★★★★★
Sole trader with a landlord round. The second number on Lite rings for the agents and the first one for everyone else, both answered the same way. Set up in an afternoon.
Karen, gas engineer, Cardiff

Questions Heating Engineers Ask About a Business Landline

What is a heating engineer business landline?

A business phone number for a heating or gas engineer, a local 01 or 02 number or a national 03, that rings your mobile on the job rather than a desk you are never at. It is a cloud number, so there is nothing to install and no line rental. On an AI plan the number is answered in your business name when you cannot pick up, the gas question is asked first, the make, fault code and pressure are taken, and breakdowns are booked by priority with the details texted and emailed to you.

What does it do if someone smells gas or a carbon monoxide alarm goes off?

It stops and gives the safety script before taking any detail: open windows and doors if safe, do not use switches or anything that could spark, leave the property, and from outside call the gas emergency number, 0800 111 999 in Great Britain or 0800 002 001 in Northern Ireland. For a CO alarm the same, with medical help if anyone feels unwell. Only once the caller is outside is the call put through to you.

Can it book landlord gas safety checks for letting agents?

Yes. For a single property it takes the address, the expiry date, whether it is occupied, the tenant's contact details or where the keys are, and books it. For a batch it asks the agent to email the list with addresses, expiry dates and tenant numbers, flags any that are needed before a move-in date, and you ring back with a grouped schedule. The check can be done up to two months before expiry without changing the renewal date, so the AI asking for the expiry date on every call is what makes batching possible.

Does it ask for the boiler make and the fault code?

On every breakdown call: make, model if the caller can see it, the code exactly as it appears on the display, the pressure gauge reading, and who is in the house. It reads the code back and writes it down; it does not interpret it, suggest a reset or talk the caller through anything on the boiler. The text to you has the make and the code in the first line, so you know what to bring before you ring back.

What happens on the first cold morning when forty people ring at once?

The AI answers each call at the same speed as on a quiet day, asks the gas question, takes the details, and books by priority: a household with no heat and children, an elderly or unwell occupant, or water near electrics goes to the top; a boiler that locks out and resets goes in the queue with an honest slot time. You get the list as texts and emails, in order. A morning like that uses more AI minutes than a normal week, which is what AI minute packs are for.

Can it quote my callout fee and hourly rate?

Yes. You set the callout fee, what it includes and any out-of-hours rate, and the AI states it on every breakdown call and repeats it in the confirmation text, so there is no conversation about money on the doorstep. On Pro the call is recorded with a transcript as well.

Can I keep the number on my van and my Gas Safe register entry?

Yes. UK numbers can be ported across, so the number on the van, your Gas Safe register listing, your Checkatrade page and your Google Business Profile stays exactly the same. Or keep your current number with your current provider and forward it to the new one. A new local number for a new area is chosen when you sign up.

How much does a heating engineer business landline cost?

Lite at £19.99 a month is where the AI starts: the AI receptionist, 30 AI minutes, two numbers and text and email credits, which covers a sole trader outside the cold snap. Pro at £79.99 has 250 AI minutes, three numbers and call recording, which is where a two-van firm with landlord contracts usually sits. Starter at £9.99 is the number with divert and voicemail only. All plans are monthly with no contract, and annual billing takes 25% off.
